People Enquire but Don’t Buy? Fix Your Follow-Up First

Many business owners believe their problem is not enough leads. Often, the leads are already coming in. They are just being lost between the first message and the sale.

Where enquiries leak

  • Slow replies. A customer who messages three businesses usually buys from the one that replies first and clearly.
  • No record. Enquiries sit across WhatsApp chats, call logs and notebooks, so nobody knows who to follow up with.
  • One follow-up, then silence. Most buying decisions take more than one conversation.
  • Nobody owns it. When everyone handles enquiries, no one is responsible for them.

A simple follow-up system

  1. Reply quickly. Set a target, for example within one hour during business hours. WhatsApp Business quick replies help.
  2. Record every enquiry in one place. A simple sheet is enough to start: name, phone, requirement, source, date, stage and next follow-up date.
  3. Label each stage. New, Interested, Quotation sent, Follow-up, Converted, Not interested.
  4. Set a follow-up rhythm. For example day 1, day 3 and day 7, with something useful each time, such as an answer, a photo or an option, not just “Any update?”
  5. Review every week. How many enquiries came in, how many converted, and where the rest were lost.

When to bring in a CRM

A spreadsheet is fine at first. When enquiry volume grows, or several people handle leads, a CRM and some automation make the process easier to run. But the process comes first. Software cannot fix a follow-up habit that does not exist.
